What a construction quotation should include
- Your firm name, address, phone and PAN/VAT number.
- Client name and the site — put the site address or project name in the subject line.
- Each work item with its unit — cu ft for masonry and concrete, sq ft for plaster, tiling and painting, month for supervision.
- Whether the rate includes material — write "labour only" or "labour + material" in the description.
- Subtotal, VAT and grand total, with the total in words.
- Validity — cement, rod and brick prices move; 15–30 days is common.
- Terms — advance amount, running bills, who supplies water and electricity on site, and what is excluded.
Tips for contractors and builders
- Quote measured quantities from the drawing, and state that the final bill will follow actual measurement at site.
- List exclusions (e.g. electrical, plumbing, scaffolding) — most disputes come from what the client assumed was included.
- Split large jobs into sections (Ground floor, First floor, Finishing) with section headings.
- When the client accepts, convert the quotation into an invoice in one tap — no retyping.
