How-To Guide

Mastering ProQuote

Learn how to easily create documents, use templates, and save your work offline in folders.

1. Quick Start

Creating a professional document in ProQuote takes less than 2 minutes. There's no account or sign-up — open the app and start right away. Your documents save locally on your device.

1

Select Your Document Type

Open the app and use the top navigation bar to select between Quotation, Invoice, or Delivery Note. The fields will automatically adjust based on your selection.

2

Enter Details (Company & Client)

Fill in your business details. You can add a logo, a stamp, a signature, and pick a document theme. Then, click "Next" to enter your client's information.

3

Add Line Items

In the Items section, click + Add Item (or press Shift+A). Fill in the description, quantity, and rate. Press Enter to save and instantly add the next item!

4

Export & Share

Click "Preview" to see your final document. From the top bar, you can instantly download it as a PDF or JPEG, print it, or share it directly via WhatsApp.

2. Saving Documents

ProQuote auto-saves your work as you type. Documents are saved on your device — no account needed.

A

The "Saved Documents" Folder

While editing a document, click the ••• menu in the top right, then select Saved Documents. You can also press "Save Document" on the Export tab. This will save a draft of your current document locally to your browser.

B

Reopening Saved Work

Open the Saved Documents menu anytime to see a list of your previous quotations and invoices. Click on any item to instantly load it back into the editor.

C

Backup & Restore

Use Save to File in the ••• menu to download your document as a JSON file, then Open File on any other device to restore it. Note: clearing browser data will delete local documents, so keep backups of important work.

3. Templates & Library

Stop typing the same services over and over. ProQuote lets you build a library and insert templates.

A

Saving to the Product Library

In the "Items" tab, look for the Product Library box above your item list. Type a product name (e.g., "Web Hosting") and a rate, then click + Save. Next time you click "Add Item", this product will appear as a quick-select option!

B

Using Pre-built Industry Templates

Don't want to start from scratch? At the bottom of the Items tab, click the Templates button. A modal will appear with pre-filled line items for industries like Design, Web/Dev, Photography, and IT Services. Click "Add all →" to instantly populate your invoice.

4. Offline Installation

ProQuote is a Progressive Web App (PWA). This means you can install it exactly like a native app on your phone or laptop.

A

Install on Windows / Mac

Open ProQuote in Chrome or Edge. Look at the right side of the URL bar at the top of the browser. Click the Install icon. ProQuote will now open in its own window and work flawlessly without an internet connection!

B

Install on iPhone (iOS)

Open the app in Safari. Tap the Share button at the bottom navigation bar. Scroll down and tap "Add to Home Screen". ProQuote will appear as an app icon among your other apps.

C

Install on Android

Open the app in Chrome. A banner will automatically appear at the bottom asking you to install. If it doesn't, tap the three-dot menu and select "Install app".

5. Type, Say or Use AI to Add Items

You don’t have to fill in items one row at a time. In the Bill maker and in the Items step of every document — quotation, invoice, proforma, purchase order, credit and debit note, delivery note — there is a box that turns a sentence into item rows.

A

Type it

Write 2 kg sugar 95, oil 320, 3 soap 40 and press Enter. You see what was understood before anything is added. A price is the price of one; write =190 or total 190 for a line’s total. Nepali works too: dui kilo chini 95, चिनी २ केजी ९५. Saved products fill in their own names and prices.

B

Say it

Tap the microphone in the box and say the items. It appears in Chrome, Edge and Safari. If a line comes out unclear, press Read with AI and the sentence is read for you — free, a limited number of times a day.

C

Let ChatGPT write the list

For a long list, a photo of a handwritten order, or a supplier’s bill: copy the prompt below into ChatGPT (Gemini, Claude and Copilot work the same), add your list or photo under it, then copy its reply and paste it into the box. You can also save the reply as a .csv file and choose Import a CSV file.

Turn my list into a CSV table for ProQuote (a quotation, invoice and bill maker).

Rules:
- The first line is exactly: Description,Qty,Unit,Rate,Note
- One line per item, in the order I gave them.
- Description: the item's name, in the language and script I wrote it. No quantity in it.
- Qty: a number. If I didn't say, 1.
- Unit: kg, pcs, hr, box and so on, or leave it empty.
- Rate: the price of ONE unit as a plain number, with no currency sign and no thousands commas. If I gave the total for a line, divide it by Qty. If I gave no price, leave it empty. Never guess a price.
- Note: anything extra about the item, or empty.
- Put double quotes around any text that contains a comma.
- Reply with only the CSV, inside one code block. No explanation.

Make your own CSV

In Excel or Google Sheets, put Description, Qty, Unit, Rate, Note in the first row and one item on each row below, then save as CSV. Only Description is required. Rate is the price of one, as a plain number.
