Professional Quotation Format: Create One in 5 Minutes

By ProQuote Team · July 25, 2026 · 7 min read

A client asks for a price. You open a blank document and stare at it, unsure what to include or how to lay it out. That hesitation costs you time — and a messy, incomplete quotation costs you the deal.

This is the exact professional quotation format used by businesses worldwide — every section explained, in the order it should appear — plus how to fill it in and export a branded PDF in about five minutes.

Looking for writing advice — tone, persuasion, what makes a client say yes? See our companion guide, How to Write a Professional Quotation That Wins Clients. This article is about the structure: what goes where.

The Standard Quotation Format, Section by Section

Every professional quotation — regardless of industry — follows the same skeleton:

SectionWhat it contains
HeaderYour logo, business name, address, phone, email, tax/VAT number
Document title & number"QUOTATION" clearly labeled, with a unique reference (e.g. PQ-2026-014)
Date & validityIssue date and a "valid until" date — quotations should always expire
Bill to / Client detailsClient's name, company, and contact person
Line itemsDescription, quantity, unit rate, and line total for each item or service
TotalsSubtotal, tax (VAT/GST), discount if any, and grand total
TermsPayment terms, delivery timeline, what happens if the client accepts
Signature / stampAuthorized signature block, company stamp if you use one

Miss any of these and the quotation looks unfinished — or worse, leaves room for a client to dispute price or scope later.

Format Details That Matter

Quotation number

Use a consistent, sequential format like PQ-2026-001. It signals you run an organized business, and makes it trivial to reference later ("regarding quotation PQ-2026-014...").

Validity date

Always state how long the price holds — typically 15 to 30 days. Without this, a client can accept a stale quote months later at an old price.

Line-item detail

"Web design — Rs 40,000" is vague. "Website design (5 pages, mobile-responsive, 2 revisions) — Rs 40,000" removes ambiguity about what's included, which is the single biggest source of scope disputes after the fact.

Tax breakdown

Show tax as its own line (e.g. VAT 13%), not folded into the total. Clients — especially businesses that reclaim tax — expect to see it itemized.

A Real Example

QUOTATION — No. PQ-2026-014 — Date: 25 Jul 2026 — Valid until: 24 Aug 2026

From: Everest Design Studio, Kathmandu · VAT: 603XXXXXX
To: Himalayan Trekking Co.

Logo Design — 1 × Rs 15,000 = Rs 15,000
Brand Guidelines Document — 1 × Rs 10,000 = Rs 10,000
Business Card Design — 1 × Rs 5,000 = Rs 5,000

Subtotal: Rs 30,000 · VAT (13%): Rs 3,900 · Grand Total: Rs 33,900

Payment: 50% advance, 50% on delivery · Valid for 30 days

Notice every field from the table above is present — nothing is implied or left for the client to guess.

Building This Format in Under 5 Minutes

Typing this structure from scratch in a word processor, fighting with table borders and spacing, easily eats 30–60 minutes. ProQuote's quotation maker already has this exact format built in:

  1. Add your company once — logo, address, VAT number. Saved for every future quotation.
  2. Add the client — name and contact details.
  3. Add line items — description, quantity, rate. Totals and tax calculate automatically.
  4. Set validity — pick a date, or let it default to 30 days.
  5. Export — download as a branded PDF, print, or send straight to WhatsApp.
